*If you decide to upgrade your fare class, please expense only the cost of the standard economy ticket. Any additional amount for the upgrade will be your personal responsibility and non reimbursable.

Note: Gratuities and ground transportation are also included. Any additional gratuity is at your discretion and will not be reimbursed.
Airfare​
For the club winner, please book airfare using your standard travel booking method (e.g., CWT/Concur Travel, airline carrier, or travel agent). Our company’s latest Travel & Expense (T&E) Policy can be found here.
Guests should book airfare directly through their preferred airline carrier, as CWT is not available for non-Planview travelers.

Any costs associated with flight upgrades, changes, or rescheduling will be the responsibility of the club winner.
Airport to Hotel Transportation
The hotel is approximately a 2-hour drive from Florence Regional Airport (FLR) or a 3-hour drive from Rome Fiumicino "Leonardo da Vinci" Airport (FCO)

Disembark: You'll walk from the plane to the terminal.

Passport Control (if needed): If arriving from a non-Schengen country (like the US), you'll go through passport control. If from within Schengen (most of Europe), you skip this entirely.

Baggage Claim (if needed): Collect your luggage from the carousel (flights are listed on screens).

Customs: Walk through the green "Nothing to Declare" channel (unless you have goods to declare).

Exit: You'll be outside the terminal within minutes, ready for transport. ​

Once outside, look for the airport host holding signage — they will guide you to your transportation.​​
Extend Your Stay
Club winners may request an extended stay of up to three nights before and/or after the program dates, subject to availability. Extended stays are optional and at the guest’s discretion.
​
Winners are responsible for all costs associated with additional nights and will pay the hotel directly upon checkout. These nights are subject to the group rate cancellation policy; refunds are not available for cancellations made within 60 days of arrival. The nightly rate for a standard room is €900 per night, excluding taxes.

Extended stay requests may be submitted during registration. Christina Huot will confirm once hotel availability has been secured.
